These Terms & Conditions (“Terms”) govern your use of the website operated by American International Christian Chaplains Association Inc. (“AICCA,” “we,” “us,” or “our”) and your purchase or enrollment in any AICCA courses, training, membership, certification, events, downloadable materials, or related services (collectively, the “Services”). By using this website, submitting an application, enrolling in a course, creating an account, or making a payment, you agree to these Terms.

2. Educational and Ministry Services

AICCA provides Christian chaplaincy, counseling, ministry, and related educational training resources. Course descriptions, pricing, requirements, and any stated completion expectations are provided for informational purposes and may be updated from time to time. Enrollment or completion of a course does not guarantee employment, appointment, ordination, licensure, acceptance by a third party, or any specific professional outcome. You are responsible for determining whether a course, certificate, credential, or training program meets the requirements of your employer, church, ministry, agency, jurisdiction, or other organization.

3. Eligibility and Accurate Information

You agree to provide current, complete, and accurate information when applying, enrolling, registering, or making a purchase. You are responsible for maintaining the confidentiality of any login credentials and for all activity under your account. AICCA may refuse, suspend, or terminate access if information is false, incomplete, misleading, abusive, or violates these Terms.

4. Orders, Tuition, Fees, and Payment Authorization

All prices are listed in U.S. dollars unless otherwise stated. By submitting payment information, you represent that you are authorized to use the payment method and authorize AICCA or its payment processor to charge the amount shown at checkout or on the invoice. Fees may include tuition, application fees, administrative fees, membership fees, certification fees, course materials, event fees, or other disclosed charges. You are responsible for reviewing the order details before submitting payment.

AICCA may use third-party payment processors to securely process payments. AICCA does not intentionally store full credit card numbers on its website. Payment approval is subject to the card issuer, bank, and payment processor. If a payment is declined, reversed, disputed, or later determined to be unauthorized, AICCA may suspend access to Services until the balance is resolved.

5. Course Access, Delivery, and Fulfillment

Unless a specific physical item is stated, AICCA Services are delivered electronically through the website, email, online access, downloadable materials, or other digital methods. Course access or enrollment confirmation is typically provided after successful payment and administrative processing. Physical documents, certificates, or printed materials, if applicable, may be mailed after completion, verification, or approval and may require additional processing time. If you do not receive expected access or confirmation, contact AICCA at info@aicca.net or 407-770-3078.

6. Refund, Cancellation, and Transfer Policy

Unless a separate written agreement or program-specific policy states otherwise, refund requests must be submitted in writing to info@aicca.net within 30 days of the payment date. Approved refunds will be issued to the original payment method when possible and may take 5 to 10 business days after approval to appear, depending on the financial institution.

Because many AICCA Services include digital course access, administrative processing, downloadable materials, or reserved enrollment capacity, fees are generally non-refundable after course access has been granted, materials have been delivered, a course has been substantially started or completed, a certificate or credential has been issued, or administrative processing has begun. Application fees, certification fees, credentialing fees, completed services, downloadable materials, and special-order items are non-refundable unless AICCA determines that a billing error occurred.

AICCA may, in its discretion, offer a course transfer, credit, or partial refund when circumstances justify it. Duplicate charges, incorrect billing amounts, or unauthorized charges reported promptly will be reviewed and corrected if verified. No refund is guaranteed unless confirmed in writing by AICCA.

7. Recurring Payments and Payment Plans

AICCA will not enroll you in recurring billing unless the amount, frequency, and cancellation terms are disclosed before payment. If you agree to a payment plan or recurring payment, you authorize AICCA or its payment processor to charge the payment method on file according to the disclosed schedule. You must request cancellation or changes in writing before the next scheduled charge. Amounts already charged under an authorized payment plan may be subject to the refund policy above.

8. Billing Disputes and Chargebacks

If you believe a charge is incorrect, contact AICCA first at info@aicca.net or 407-770-3078 so we can investigate and resolve the issue. Filing an improper chargeback for a valid purchase may result in suspension of course access, certificates, credentials, or account privileges until the matter is resolved. AICCA reserves the right to recover unpaid balances, chargeback fees, collection costs, and reasonable administrative costs where permitted by law.

9. Student Conduct and Acceptable Use

You agree not to misuse the website, interfere with its operation, attempt unauthorized access, share login credentials, copy or redistribute restricted materials, submit unlawful or harmful content, harass others, impersonate another person, or use AICCA materials for fraudulent or misleading purposes. AICCA may suspend or terminate access for conduct that violates these Terms, disrupts the learning environment, damages AICCA, or harms other users.

10. Intellectual Property

All website content, course materials, videos, documents, text, graphics, logos, downloads, training materials, and related resources are owned by AICCA or its licensors and are protected by copyright, trademark, and other intellectual property laws. Your purchase or enrollment provides a limited, non-transferable license for personal educational use only. You may not copy, resell, publish, upload, distribute, teach from, modify, or create derivative works from AICCA materials without written permission.

11. Privacy and Payment Security

AICCA collects and uses information submitted through the website to process applications, enrollments, payments, course access, support requests, and business communications. Payment information may be processed by third-party payment providers subject to their security standards and terms. You agree that AICCA may contact you by email, phone, or other provided contact information regarding your account, enrollment, payment, courses, or related services.

12. Third-Party Services and Links

The website may link to or rely on third-party services, including payment processors, video platforms, email services, maps, analytics, or external websites. AICCA is not responsible for third-party websites, policies, content, outages, fees, or actions. Your use of third-party services may be subject to separate terms and privacy policies.

13. Disclaimer of Warranties

The website and Services are provided on an “as is” and “as available” basis. AICCA makes reasonable efforts to provide accurate information and reliable access, but does not warrant that the website, course materials, or Services will be uninterrupted, error-free, fully secure, or free from technical problems. To the fullest extent permitted by law, AICCA disclaims all implied warranties, including warranties of merchantability, fitness for a particular purpose, and non-infringement.

14. Limitation of Liability

To the fullest extent permitted by law, AICCA and its officers, directors, employees, instructors, volunteers, contractors, and representatives will not be liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including lost profits, lost opportunities, loss of data, or business interruption. AICCA’s total liability for any claim related to the website or Services will not exceed the amount you paid to AICCA for the specific Service giving rise to the claim.

15. Indemnification

You agree to indemnify and hold harmless AICCA and its officers, directors, employees, instructors, volunteers, contractors, and representatives from claims, losses, damages, liabilities, costs, and expenses arising from your use of the website or Services, your violation of these Terms, your misuse of AICCA materials, your submitted information, or your violation of any law or third-party right.

16. Changes to Services or Terms

AICCA may update courses, pricing, schedules, requirements, website content, policies, or these Terms at any time. Updated Terms are effective when posted on this page unless a different effective date is stated. Continued use of the website or Services after updates means you accept the updated Terms.

17. Governing Law and Venue

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute that cannot be resolved informally will be handled in the state or federal courts serving Orange County, Florida, unless applicable law requires otherwise.
